As we expand, we are seeking a highly organized and proactive Administrative \& Project Coordinator to support both our office operations and field teams.
Position Overview
The Administrative \& Project Coordinator is a pivotal role within our team, responsible for ensuring smooth day-to-day operations while supporting multiple construction projects from startup through to closeout. This hybrid role bridges administration, project execution, employee management, and safety compliance. Key Responsibilities
Administrative Support
- Coordinate employee training, certifications, and grant applications
- Maintain the employee calendar (vacations, training, milestones)
- Track and report ITA apprenticeship hours
- Plan internal meetings, team events, and recognition initiatives
- Oversee insurance renewals and maintain related documentation
- Support the safety program, including annual manual reviews and training sessions
- Assist with monthly administrative reviews in collaboration with accounting
- WCB claims
- Onboarding / offboarding

Project Coordination
- Support project startup activities and subcontractor coordination
- Manage procurement, issue purchase orders, and schedule deliveries
- Review and track shop drawings, submittals, and change orders
- Assist with project billing, budget documentation, WCB filings, and statutory declarations
- Organize and maintain project documentation in Procore (drawings, directories, etc.)
- Handle permitting, inspection scheduling, and service call coordination
- Contribute to project closeout, including deficiency resolution and documentation
Qualifications
- Minimum 3 years of experience in an administrative or project coordination role (construction or trades industry preferred)
- Proficient in Microsoft Office Suite; experience with Procore is a strong asset
- Familiar with construction documentation, project billing, and safety protocols
- Excellent organizational, communication, and multitasking skills
