We are currently hiring an Administrative Assistant for a global healthcare leader focused on discovering, developing, and delivering innovative treatments that enhance and save lives. This is a full-time contract role with the possibility of extension or becoming permanent that provides comprehensive administrative support to ensure the smooth functioning of daily operations. This role involves managing schedules, coordinating meetings, handling communications, and supporting departmental projects in a fast-paced pharmaceutical environment.
Responsibilities
- Manage calendars, schedule appointments, and organize meetings for team members.
- Prepare, format, and edit correspondence, presentations, and reports.
- Maintain and organize files, records, and documentation.
- Act as a point of contact for internal and external communications.
- Coordinate logistics for meetings, events, and travel arrangements.
- Liaise with other departments, vendors, and stakeholders as required.
- Process invoices, expense reports, and purchase orders.
- Monitor office supplies and coordinate procurement as needed.
- Support compliance with organizational policies and procedures.
- Assist with the preparation of materials for audits, regulatory submissions, or corporate initiatives.
- Provide administrative support for departmental projects and events.
- Take minutes during meetings and distribute them to relevant stakeholders.
Requirements
- Diploma or degree in Business Administration, Office Management, or a related field.
- 2+ years of experience in an administrative or similar role, preferably in the pharmaceutical, healthcare, or related industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with document management systems or other relevant software is an asset.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to work effectively in a fast-paced, collaborative environment.
- High level of discretion and professionalism in handling sensitive information.
