Office Administrator, Chief Audit Executive (CAE) Group
What is the opportunity?
As an Office Administrator in the CAE Group, you will provide administrative support to our Halifax office and its employees. As a primary contact for all employees in the Halifax office, you will play an integral role in maintaining a positive CAE Group employee experience and ensuring operational efficiency. The ideal candidate for this role will be a proactive, detail-oriented individual who enjoys managing multiple tasks and working in a collaborative, fast-paced office environment.
The RBC CAE Group provides enterprise-wide independent, objective assurance over the design and operation of RBC's risk management practices, governance processes and the system of internal controls, and provides advisory services with insights designed to enhance the Bank's operations. Note that this is a predominantly in-office position, and the successful candidate will be generally expected to be physically present in the Halifax office 5 days per week (exceptions will be made in certain circumstances).
What will you do?
- Coordinate onboarding and offboarding activities for new hires and departing employees (such as ordering laptops and pass cards, assigning lockers, submitting system access requests, etc.), in conjunction with the administrative team in Toronto.
- Liaise with building management and Technology \& Operations contacts to handle any office-related infrastructure, equipment and technology needs or issues to help maintain a positive and safe working environment.
- Organize engagement events for the office, as well as regional events related to global CAE Group celebrations, such as Quarterly Appreciation Breakfasts, Performance Award Gala, Town Hall viewings, etc.
- Support senior leadership in planning and executing their meetings or events while they are onsite in Halifax.
- Maintain, monitor and order office supplies to ensure inventory remains fully stocked.
- Process \& distribute incoming mail to the appropriate recipients and handle outgoing courier shipments through UPS.
- Other assigned duties to support CAE Group administrative operations, as applicable.
What you need to succeed?
Must-have
- 3 years of administrative support experience.
- Excellent communication skills, both verbal and written.
- Superior organizational, problem-solving and time management skills.
- Ability to work independently in a fast-paced environment.
- Strong technical skills; proficient in Microsoft Office Suite.
Nice-to-have
- Post-secondary degree or diploma.
- Experience working in a large corporate environment.
