Program Overview -- Volunteer Services, Community Programs
Volunteer Services is a central resource to the organization, responsible for recruiting, retaining, and recognizing over 1000 volunteers who dedicate over 20,000 hours each year. The Volunteer Services Assistant will support clerical and administrative duties within the Volunteer \& Student Services Department. Reporting to the Manager of Volunteer \& Student Services, the incumbent will work under the daily supervision of the Volunteer Services Coordinators.
What You Will Do
- Assist with data gathering for communication and marketing materials.
- Work closely with volunteer coordinators to ensure proper documentation of volunteer registration and onboarding, following established procedures.
- Respond to inquiries about Volunteer \& Student Services and conduct initial application screening.
- Monitor request forms and share new positions received with coordinators.
- Manage the Volunteer inbox, sort applications/requests, and forward to responsible coordinators.
- Update volunteer and student profiles in the department data management system.
- Assist in planning and implementing volunteer recognition events.
- Support the organization of volunteer and student group discussions, workshops, orientation, and training sessions.
- Provide backup support at the main reception and cover daily breaks of the front desk clerk.
- Perform other related tasks as needed.
What You Bring to the Team
- Diploma or Degree in Social Services, Administration, or related field.
- Administrative or customer service skills.
- Proficiency in MS Office Suite, familiarity with online platforms, and internet research skills.
- Strong organizational and planning skills.
- Effective communication skills, with ability to interact with clients from diverse backgrounds.
Participant Requirements (Canada Summer Jobs)
- Age between 15 and 30 at employment start date.
- Canadian citizen, permanent resident, or refugee status holder during employment.
- Valid Social Insurance Number and legal right to work in Canada.
Note: International students and youth without established refugee status are ineligible. The program aims to support youth entering the Canadian labor market.
