Administrative Assistant [Construction Department] -- Permanent Full Time

Position Summary:
The Administrative Assistant provides professional administrative support to the Construction team. The role involves assisting with the department's administrative functions to ensure efficiency, effectiveness, and confidentiality.
Primary Responsibilities:
- Understand and anticipate the priorities and needs of the senior director, providing support materials and assistance as needed.
- Manage appointment schedules, coordinate internal and external meetings, and establish priorities.
- Create and maintain effective workflows and communication for multiple projects and tasks.
- Attend committees, take minutes, prepare agendas, and distribute materials.
- Maintain meeting schedules and notify members of upcoming meetings.
- Handle incoming mail, highlight pertinent information, and take action on routine matters.
- Prioritize reports, requests, and approvals, ensuring timely responses.
- Draft and proofread documents, reports, letters, and presentations for accuracy and proper formatting.
- Answer and route calls, greet visitors, and respond professionally to inquiries.
- Maintain accurate electronic and physical filing systems.
- Input payroll data for direct reports and participate in special projects as needed.
Qualifications and Experience:
- Graduate from a recognized college.
- 5+ years of experience as an Administrative Assistant.
- Experience with desktop publishing and report presentation is an asset.
- Proficiency in Windows OS and Microsoft Office Suite.
- Excellent interpersonal, oral, and written communication skills.
- Ability to handle multiple tasks and shifting priorities accurately.
- Strong editing and proofreading skills.
- Alignment with Runnymede's vision, mission, and values.
- Adherence to infection prevention and control policies.
- Maintain confidentiality of personal health information.
- Participate in Continuous Quality Improvement and Risk Management programs.
