Job Description
As the Administrative Assistant, you will be responsible for providing day-to-day administrative support to the Operations executives and their respective team(s), including coordinating calendars, meetings, expenses, events, travel, correspondence and departmental initiatives. You will work in close collaboration with the Executive Assistant, aligning on priorities, coordinating tasks, and receiving general guidance to ensure seamless support across the team and department.
- Provide general administrative support to the Managing Directors \& broader team.
- Manage executives calendars in collaboration with the Executive Assistant, liaising with other departments to coordinate meeting bookings efficiently.
- Work closely with the Executive Assistant and various teams to streamline workflows, enhance team coordination, and provide comprehensive departmental support, often coordinating tasks and receiving general guidance from the Executive Assistant to ensure priorities are aligned.
- Assist with internal and external meeting room bookings, including guest registration and catering arrangements as needed.
- Performs expense reporting, and coordinates approval and processing of invoices.
- Assists in the creation of high quality on-brand communications, and reports.
- Provides support and assists with departmental and team off-sites and social events.
- Support the on-boarding of new staff joining the team.
- Coordinates and books travel arrangements, including flights, hotels and visa requirements as needed.
- Handles highly confidential material/matters relating to the department and organization with utmost discretion.
- Coordinates and performs critical internal processes for the team.
- Works closely with other admins and teams to increase efficiency and provide overall departmental support.
Qualifications
- College diploma or undergraduate degree is required.
- 2-5 years of relevant administrative support experience in a fast-paced, professional environment, prior experience in the financial services or related industry is an asset.
- Experience providing support to multiple professionals and managing competing priorities.
- Experience with complex calendar management, events, scheduling travel and managing expense reimbursement process.
- Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
- Extremely motivated, eager to learn, adaptable, calm under pressure and professional.
- Able and willing to work flexible hours, as required.
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
- Exceptional (written and verbal) communication skills and interpersonal skills.
- Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
- Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
- Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
