Job Description The Office Manager ensures that all administrative duties and functions are carried out in a confidential, efficient and timely manner in accordance with Extendicare policies and procedures. This role is focused on the execution and involvement in various areas of the business including, Accounts Payable and Receivable, Financials and HR Administration. Key Outcomes: • Invoices are paid on time and records are accurately maintained • Administrative processes are met in compliance with internal and regulatory compliance standards • Residents and Families are satisfied with administrative processes and general communication • Successful monitoring of quality programs and risk management programs • Ensure privacy and confidentiality of resident and employee records and files Key Responsibilities: • Participate in the admission process including signing of the resident contracts and the maintenance of the business files according to the policies set out • Ensure that bi-weekly payroll, payroll variance reports are properly inputted and submitted • Monitor benefit eligibility, and coordinate provision of benefit enrolment packages to employees; ensure accuracy of completed forms and submit to Benefits in timely manner • Coordinate submission of benefit changes and collection of payment arrears as necessary • Maintain resident and employee personnel records and prepare reports as required • Participate in the development of the departmental annual operating budget and ensure compliance • Communicate effectively with residents, family members, internal and external stakeholders • To be responsible for the billing system and the maintenance of the resident trust accounts • Ensure timely completion and submission of approved invoice package for office purchases • Process forms and reports with respect to resident admissions, transfers and discharges • To contact agencies regarding funding from residents as required • To uphold and promote the organization’s values and philosophy relating particularly to ethics, morality, and integrity as set out in Extendicare's Code of Conduct • Follow and adhere to Extendicare's Guiding Principles Role Profile Time Type: Full time When you choose to build your career with Extendicare, you’re joining a team dedicated to making a difference.
