The Administrative and Finance Assistant provides support for the Women in Trades & Technology programs and is responsible for providing administrative and finance support to the Manager and Business Administrator. The position is also responsible for front desk reception duties as required.
ABOUT YWCA TORONTO – WOMEN IN TRADES AND TECHNOLOGY
The Women in Trades and Technology programs provide training and employment service to women and gender diverse people interested in joining the construction, landscape and information technology industries. Programs are funded by MTCU (Ministry of Training, Colleges and Universities) and are geared to educate women and gender diverse people about career opportunities in non-traditional occupations and train them in trades-specific programs.
KEY RESPONSIBILITIES
Provides administrative and organizational support to the Manager and Staff team, and prioritizes urgent matters requiring attention
Ensures timely, accurate and complete record management, data collection and entry into YWCA databases
In consultation with the Manager and Business Administrator assists in preparation of monthly claims and conducting periodic reviews of the budget for the WiTT program funders
Assists in the preparation and timely submission of financial claims
May assist in preparation and monitoring of budgets in consultation with the Manager
Assists in preparing all bookkeeping records to the satisfaction of the Manager
Checks monthly reports from the Finance Department, brings discrepancies to the attention of the Business Administrator and generates journal entries for corrections
Assists the Business Administrator and Manager with preparation of financial statements for quarterly reviews and year-end reports
Assists with all processes related to accounts payable and accounts receivable entries in GP Dynamics for the WiTT programs, and exports to the Finance Department; monitors outstanding payments where necessary
QUALIFICATIONS
In depth knowledge of an academic discipline normally acquired through completion of an undergraduate degree in business administration, commerce or related field
Basic accounting skills is a requirement. This includes demonstrated knowledge and experience in general bookkeeping and accounting principles
1-3 years directly related work experience
Must have advanced computer skills in Windows, Excel, Word, Outlook and database applications
Operates in an environment that has minimal supervision, requires flexibility, adaptability and problem-solving skills
Knowledge of employment and trades program an asset
Demonstrated ability to work under pressure
Ability to work within an anti-oppression and feminist framework
Ability to maintain a positive approach and a professional manner at all times
Experience working within a multicultural environment
Knowledge of and ability to troubleshoot computer hardware network connections
Superior customer service, verbal and written communication skills
Very strong organizational skills and detail-oriented
Knowledge of another language an asset (e.g., Somali, Tamil, Urdu, Hindi, Arabic)
