Active participation to include but not limited to Sales Blitz’s, Prospecting, Site Inspections and Client EventsManage all aspects of large multi-day conference as the sole contact onsite, in partnership with the operations teams.Coordinate large luxury weddings alongside wedding planners, vendors and partners.Facilitate all operations for off property catered events to include local offices, large event venues and boat catering.Ensure Banquet Event Orders & Group Resumes are completed and accurate for distribution as requiredInitiate the Event Services booking process by creating account bookings, contracts, establishing departmental files and generating timely notifications as it pertains to all types of guest and client inquiriesActive solicitation of client guarantees and the timely distribution of the information in accordance with established departmental processes and as requested.Manage deposit creation and collection in partnership with the on-property accounts team.Work closely with Group Rooms Specialist to ensure accuracy in VIP arrival times & VIP status where appropriate.Responsible for the accurate forecasting for all food and beverage events and month end reporting.Managing the design and printing of custom projects including – menus for weddings and events; event diagrams and seating floorplansAny other tasks assigned by the Director Event Sales and Services.QualificationsQualifications: A minimum of 4 years’ previous experience at management level in catering sales and large conference is required. Experience in a large luxury hotel sales environment preferred.Strong computer literacy with MS Office programs (Excel, Word, PowerPoint, Outlook) is requiredHigh energy with exceptional organization, interpersonal and communication skills, both written and verbalMust be a creative and effective person, possessing a high degree of professionalism both in appearance and telephone mannerMust be able to work independently and maintain a positive attitude within a very busy environmentMust be a proven team player who is motivated and can take initiativeAbility to multitask and take directions from numerous sourcesHighly responsible and reliableMust be flexible in availability as long hours may be required depending on business levelsBachelor’s degree in Hotel Management and/or equivalent experience working in the hospitality industry is a definite assetRequired to work evenings and weekends as necessaryAdditional InformationPhysical Aspects of Position (include but are not limited to):Sitting 6-8 hours a day.Light to medium activity.
