SUMMARY OF DUTIES
Reporting to the Coordinator, Court Support, this position is responsible to provide court support related to the operations of the Provincial Offences Administration (POA) office. Coordinates services and workflow processes contributing to effective and efficient court operations for in-person, virtual and hybrid courts.
GENERAL DUTIES
Provides customer service to the public, legal professionals, agencies and court stakeholders with respect to various court operations and procedures.
Offers information and support to customers through various communication channels (i.e. in-person, telephone, electronic, etc.).
Prepares and verifies court dockets and documents in advance for scheduled court proceedings.
Responsible for the opening, closing and adjourning of courts. Arraigns defendants, records dispositions through various channels (i.e. endorses, updates and balances dockets, etc.). Maintains the accuracy of the court record and annotates proceedings pursuant to the Ministry of the Attorney General’s annotation standards. Performs playbacks, administers oaths and cautions, swears/affirms witnesses and interpreters. Accepts, logs and stores secure court exhibits, provides adjournment dates, etc. for in-person, virtual and hybrid courts.
Provides support to the presiding judiciary by ensuring courtroom readiness and maintains court decorum. Unlocks and locks the courtroom prior to court starting and at the end of each session (i.e. during breaks, lunches and adjournments). Ensures all individuals have vacated the courtroom and items not needed are removed.
Operates electronic audio, video and virtual/remote hearing technology and other courtroom equipment to record court proceedings. Performs routine tests and troubleshooting to ensure proper operation. Reports any deficiencies to Coordinator.
Prepares and types court orders as required.
Receives, processes and prepares transcript and audio request orders. Produces verbatim transcripts pursuant to standards and protocols.
Reviews, analyzes and maintains data spreadsheets and reports for accuracy and reliability relating to POA.
Assists with the training of Court Reporters as required.
Provides back up to the Trial Co-ordinator as required.
Maintains office filing system and updates various municipal and provincial court databases.
Performs designated statutory signing authority as Clerk of the Court. Commissions affidavits for documents relating to POA court matters.
Works in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to Occupational Health and Safety.
Performs other duties as assigned which are directly related to the major responsibilities of the job.
QUALIFICATIONS
- Previous court reporting experience related to the duties referenced above normally acquired through a combination of education and related work experience. Experience or certification in preparing transcripts would be considered an asset.
- Experience in a computerized environment. Working knowledge of Microsoft applications and municipal and provincial court databases (Liberty Court Recorder/Player, Integrated Court Offences Network and Court Administration Management System, etc.).
- Proficient typing skills to 50 words per minute.
- Excellent written and verbal communication skills with the ability to communicate with all levels of staff, stakeholders, and the general public to provide sensational customer service.
- Demonstrated problem solving and analytical skills.
- Must possess strong organizational, prioritization and time management skills to meet tight deadlines and competing priorities.
- Must be able to work independently and collaboratively within a team-oriented environment.
- Demonstrated ability to accurately maintain and create files, spreadsheets, reports and court documents.
- Demonstrated knowledge of Provincial Offences Administration.
- Proven capability to interpret and apply various legislation, policies and procedures.
