About the Role: Reporting to the Graduate Program Director, the Administrative Assistant provides reception, administrative, clerical, and budget support for the HUMA program within the Faculty of Humanities. The Administrative Assistant will: Respond to queries via telephone, mail, email, and in person; Screen communications to determine the nature and priority of the inquiry, and process requests or redirect as necessary; Provide administrative support to the Directors, as well as other program faculty; Provide administrative assistance to students (e.g., for submitting reimbursement claims); Assist with student recruitment initiatives, admissions, records, and course timetable entries; Assist with the set-up of exams, including booking rooms and scheduling dates; Prepare correspondence (i.e., compose, proofread, and edit materials including memos, emails, letters, etc.); Set up and maintain electronic systems as required, including computerized records and databases; Maintain and update content on program websites and social media outlets; Assist in updating the graduate calendar; Liaise with the Faculty of Graduate Studies to organize thesis defenses; Schedule appointments and meetings as required, register staff and program faculty for conferences, workshops and/or events; Coordinate and attend meetings, take minutes, and circulate minutes to appropriate parties after meetings; Coordinate events (i.e., schedule dates/times, book rooms and audio visual equipment, order food and refreshments, arrange transportation and accommodation of speakers, etc.); Process requests for expense reimbursements from faculty and students; Prepare and submit purchase orders and cheque requisitions; Monitor revenues and expenditures to ensure consistency with the budget. Key Skills and Experience: Post-secondary courses including computer applications, office administration, or related courses or the equivalent combination of education and experience; Previous reception and administrative support experience, preferably in a University environment; Solid computer competency including MS Office Word, Outlook, Excel spreadsheets, databases, PowerPoint, Adobe Acrobat, web applications and web maintenance, social media platforms, scheduling software, and customized Brock systems including Workday and Brock DB; Excellent writing, grammar and proofreading skills; Knowledge of records management and privacy requirements and best practices; Ability to interact with persons from diverse backgrounds; Ability to work independently in a supportive and collaborative manner; and Strong customer service skills; Superior interpersonal skills including tact, discretion and confidentiality; Ability to establish priorities, organize own work, and work with minimal supervision; Strong initiative and ability to function as a self-starter; Excellent attention to detail with a high degree of accuracy; Sound judgment in responding to questions and serving as a resource person for the departments. Salary and Total Rewards: Job Grade OSSTF H, Salary Scale ($44,583-$61,847); This is a part-time position that includes comprehensive benefits including tuition waiver. This position is included in the Ontario Secondary School Teachers Federation (OSSTF) Union and: Salary is therefore determined by the OSSTF Collective agreement.
