We are seeking a motivated and detail-oriented Operations Coordinator to join our team in Baie-D'Urfé, Quebec. This hybrid role, requiring three days per week in the office, is integral to overseeing the operational success of our rack installation projects. The Operations Coordinator will manage invoicing, track installation progress, support our team of 11 installers, and contribute to internal sales and customer service efforts. This position requires a bilingual (French and English) professional with strong leadership skills and a positive, team-oriented character to ensure seamless project execution and client satisfaction.
Responsibilities
Project Tracking and Coordination: Monitor and track the progress of rack installation projects, ensuring timelines, budgets, and quality standards are met across all 11 installers.
Invoicing and Financial Oversight: Prepare, review, and process invoices for completed installations, resolving discrepancies and ensuring accurate billing in collaboration with the finance team.
Team Management: Provide guidance and support to a team of 11 installers, fostering a collaborative environment, assigning tasks, and ensuring efficient workflow.
Customer Service and Internal Sales: Engage with clients to address inquiries, provide updates on project status, and identify opportunities for additional services, contributing to client retention and satisfaction.
Operational Support: Participate in the end-to-end process of rack installations, including planning, scheduling, and coordinating logistics to ensure smooth operations.
Process Improvement: Identify and implement efficiencies in operational processes, including inventory management, installation scheduling, and client communication.
Documentation and Reporting: Maintain accurate records of project milestones, installation progress, and client interactions in the company’s CRM system.
Compliance and Safety: Ensure all installations adhere to safety regulations and company standards, coordinating with relevant teams to maintain compliance.
Qualifications
Bilingual Proficiency: Fluency in both French and English (written and verbal) is a must to effectively communicate with clients, team members, and stakeholders across Canada.
Experience: Minimum of 3-5 years of experience in operations coordination or a similar role, with proven experience managing a team of installers or field technicians.
Leadership and Character: Strong leadership skills with a positive, team-oriented attitude, demonstrating integrity, reliability, and a commitment to fostering a collaborative work environment.
Customer Service and Sales Acumen: Experience in customer service or internal sales, with the ability to build relationships and identify client needs.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM systems for tracking projects and invoicing. Familiarity with inventory or project management software is an asset.
Organizational Skills: Exceptional ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Industry Knowledge: Familiarity with installation processes, logistics, or racking/storage solutions is preferred but not required.
Work Arrangement: Ability to work a hybrid schedule, with three days per week in the Baie-D'Urfé office and two days remotely.
Compensation
Base Salary: $70,000–$80,000 CAD annually, commensurate with experience.
Bonus: End-of-year performance bonus ranging from $5,000 to $10,000 CAD, based on individual and company performance.
