How you’ll make a difference: The Corporate Wellness Assistant is an integral part of the Corporate Wellness team, providing administrative support directly to the Manager and indirectly to the Team Lead and team members. The Corporate Wellness Assistant also supports Corporate Wellness with the ongoing promotion of health, safety, and wellness for the employees of WCB. Your responsibilities: Administrative support functions to the Manager, Corporate Wellness, Diversity, and Inclusion that includes coordination of the manager’s schedule, mail, e-mail, travel arrangements and meeting preparation. Provides general information and direction to external and internal inquires for the Corporate Wellness area including monitoring the Corporate Wellness general mailbox and incoming mail distribution. Coordinates tracking and payment of all unit expenditures for Corporate Wellness including procurement card tracking and budget. Maintains and tracks the Corporate Wellness Strategic Map and Objectives. Administrative duties such as filing documents, fax folder maintenance, booking MRI/CT, maintaining PAR-Q forms for staff utilizing gym facilities onsite, expense reimbursements for staff related expenses as required. Collaborates with Corporate Communications to regularly update the Corporate Wellness intranet page. Keeps records of First Aid, PPE, and defensive driving completion including invoices, expense reimbursements and course completion certificates. Coordinates Health and Safety training with the Health, Safety and Environmental Coordinator including new employee orientation. Coordination of the PIR Audit schedule including the interviews. Coordination of annual staff flu/covid immunization clinics and other screening or wellness events. Coordinates office supplies and resources including office equipment repair and maintenance. Assists in the upkeep of employee fitness centers and equipment and provides assistance to employees on the use of onsite fitness facilities, equipment, and classes. Assist in the coordination, promotion, and execution of all wellness initiatives. Administers First Aid if required. Assists in provision of Corporate Wellness Lunch and Learns including planning, and moderating sessions with the speakers. Provides all other organizational and administrative assistance as required. Provides front desk coverage in Corporate Wellness and assists employees to the appropriate stream of service/support. Your experience and skills: Several years of related administrative experience with post-secondary education in business administration. Basic knowledge of health and safety training regulations including Emergency First Aid, AED and Level 1 CPR is an asset. Proven ability to adapt to changing priorities, collaborate effectively with various individuals, and manage multiple tasks simultaneously while resolving competing priorities. Proficient in minute-taking with a keen ability to write, document and explain complex issues, showcasing thorough attention to detail. Excellent interpersonal, oral, and written communication skills. Team player with a strong customer service focus. Thrive in a fast-paced work environment, and is well organized, supportive, and can prioritize tasks efficiently and effectively. Computer proficiency in Microsoft Word, Excel, PowerPoint, and MS Teams is required. Salary: $53,199 to $59,125 per annum (Pay Grade 06) This position is temporary for a period of up to one year with the possibility of extension or permanency. Final candidates for this position are required to undergo a security clearance as a condition of employment. The successful candidate must reside in Alberta and be able to work in person in our Edmonton downtown office as required by their position. This position is eligible for hybrid and the successful candidate will be expected to work in-office, up to three (3) days per week (subject to change).
