Your opportunity:
Under the supervision of the Assistant Dean, Student Services & Registrar, the Registrarial Services Coordinator will act as a the first point of contact for the FIFSW, providing detailed information to staff, faculty, and students for incoming telephone, email and walk-in inquiries. The incumbent will provide proactive, exceptional customer services to a diverse student and faculty population along with supporting day-to-day administrative service as part of the registrarial and student services team, including writing, tracking and monitoring student communications, and maintaining student files. In addition the role will provide support on core registrarial processes such as registration, course enrolments, grade submission and petitions with a high level of knowledge in retrieval, display and filing records on ROSI and divisional-specific databases and systems.
This role is not eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.
Your responsibilities will include:
- Acting as the first point of contact for general enquiries
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Verifying the accuracy and completeness of information
- Keeping well-informed on University programs, policies and procedures
- Applying established standards when processing transactions
- Writing and editing digital communications
- Providing detailed information regarding admission requirements to prospective students and applicants
- Disseminating program materials to prospective students and applicants
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two years of recent front-line experience in the registrarial/student services area within a high volume, client service post secondary environment.
- Experience working directly with prospective and current students to provide program and student services information, including admissions, registration, course enrollment, degree requirements, financial aid and petitions.
- Experience providing administrative support in an academic student services department including providing information to students and faculty members with respect to related policies, programs, and procedures.
- Experience updating, maintaining records and ensuring accuracy, including student records.
- Demonstrated experience working with databases and generating reports.
- Solid understanding of registration, course and grade administration policies and procedures, preferably at the graduate level.
- A team player with strong organizational and inter-personal skills, as well as the ability to communicate clearly in writing and in person.
- Experience with ROSI, and eMarks, or similar related systems to enter data, retrieve information, and generate reports.
- Computer proficiency with intermediate knowledge of and experience with MS Office suite, including SharePoint. Experience using Teams and/or Zoom.
- Experience maintaining information on digital platforms.
- Ability to prioritize competing demands and work well under pressure and meet deadlines.
- Experience working effectively, professionally and personably with an international and diverse pool of students, applicants, faculty and staff with a demonstrated ability to provide excellent student centric customer service.
Assets (Nonessential):
- Solid understanding of graduate university policies and procedures.
- Experience with Quercus and Degree Explorer administration, or similar related systems.

Pay Scale Group & Hiring Zone:
USW Pay Band 09 -- $67,916. with an annual step progression to a maximum of $86,855. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
