Job Description: General Ensure that all aspects of work is completed in accordance with the principles, standards and policies & procedures of The Salvation Army London Centre of Hope Prepare and maintain reports, correspondence and other documentation that is necessary to carry out the functions of the London Centre of Hope Responsible for recording and typing minutes of assigned meetings and once approved by the Executive Director or designate, circulate and/or post Assist the Leadership Team with projects, reports and special events (including staff training and wellness opportunities) Payroll In conjunction with the Directors Team, ensure that any employee status changes for payroll have been processed through Territorial Headquarters and Human Resources systems (i.e. Workday) Input payroll hours submitted by the Leadership Team and submitted to the Territorial Headquarters Payroll Department through Workday as per bi-weekly payroll schedule Maintain and file all associated payroll documentation Review payroll register upon receipt and notify Territorial Headquarters Payroll immediately of any errors Respond to inquiries from staff regarding payroll matters Human Resources Systems (i.e. Workday) Keep employee records up to date by processing employee information changes in a timely manner Maintain personnel files in compliance with applicable Salvation Army and legal requirements Recruitment/Selection/Orientation Sort resumes as they arrive, providing a first review of resumes to determine suitability for the position applying for Schedule for interviews for the hiring manager Ensure that the supply of new employee packages (union and non-union) is on hand, and that material contained within is up-to-date and relevant (Employee Manuel) Ensure that all new employees are provided with their access card, ID badge, etc., In conjunction with the Leadership Team assures that materials in the Orientation Binders are kept up to date Training and Development Develop and publish Annual Training Calendar Track participants and training records, ensuring information is entered into database Perform other position related duties as required. Qualifications: Post-Secondary education in Office Administration/Human Resources Minimum of one (1) year of prior related office administration/human resources experience Excellent computer and database skills, well versed in MS office ensuring accuracy and attention to detail Self-directed with superior organizational skills and the ability to complete assignments and meet deadlines with minimal supervision Must have strong interpersonal and communication skills and an ability to work cooperatively with the Leadership Team and community partners, to create a working climate within their team that is positive and mutually supportive Knowledge and understanding of The Salvation Army, its mission and its principles, and a willingness to adhere to and promote them First Aid/CPR and Non-Violent Crisis Intervention training preferred Strong oral and written communication skills Experience/Working knowledge in word processing; spread sheet use Demonstrated ability to use sound judgment when making decisions and be solution focused. To provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment. May require screening through The Salvation Army Abuse Registry. NOTE: Alternative combinations of education and experience may be considered Compensation: The target hiring range for this position is $18.99- $28.48 per hour. This position is based on 25 hours per week. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role. Conditions of Employment: This is a permanent, full-time position based on 25 hours per week. The Executive Director/ or designate will set the hours of work and work schedule as per operational requirements. Flexibility in scheduling is required. Normal hours of work – Monday to Friday 8:00 a.m. to 1:00 p.m. or 9:00 a.m. to 2:00p.m. (flexible) and includes a ½ hour paid meal break Normal location of work is at 281 Wellington Street, London, ON N6B 2L4 Compensation: The target hiring range for this position is $18.99 to $23.73 with a maximum of $28.48. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
