Position Overview
The Client Services Representative is responsible for providing reception and administrative services in the client space.
Key Accountabilities
Greet clients as they arrive and notify and direct guests to meeting rooms.
Answer and forward incoming calls in a timely and professional manner.
Assign, monitor and track visitor badges and pass cards for clients, new hires and vendors.
Receive and log documents delivered to reception and notify appropriate party of receipt.
Monitor boardroom requests and ensure proper setup and service, including restocking supplies.
Maintain the reception area and boardrooms in a tidy and presentable manner.
Review and update firm phone and boardroom directory lists.
Assist and provide backup coverage to members of the meeting services team.
Provide general administrative support including printing, scanning and distribution of taxi chits.
Attributes & Experience
Secondary school diploma or equivalent experience to successfully complete the essential requirements of the role.
1+ year related experience (i.e. reception/switchboard), preferably within a law firm or professional services firm.
Strong working knowledge of MS Office product suite.
Excellent client service orientation and familiarity with a formal business environment.
Strong organizational and time management skills to effectively prioritize with minimal supervision.
Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization.
Strong interpersonal skills with the ability to work well both independently and collaboratively within a team environment.
Sound judgment including the ability to deal with confidential information with utmost discretion.
Ability to remain calm and work efficiently in a fast paced, high-pressured environment.
Additional information
This position will be in the office 5 days per week.
