About the Role: Reporting to the Program Director, the Accreditation Assistant is responsible for coordinating facets of the Ontario College of Teachers (OCT) Accreditation Self-Study and Report administration, ensuring compliance, effectiveness and operational efficiency. The Assistant provides comprehensive project coordination support by facilitating processes, serving as a liaison and resource for internal and external partners, and offering administrative support to the faculty lead overseeing the self-study process. The Accreditation Assistant will: Coordinate and assist with the accreditation process for the Accreditation Self-study and Report; Collaborate with all Teacher Education administrative support staff at both campuses to ensure required program information and documents are circulated for the accreditation; Plan and coordinate campus meetings, including taking meeting minutes, room bookings, food services and securing technologies; Maintain an accreditation planning schedule; track and monitor deadlines and reporting requirements; Gather and organize necessary documentation, including course collections, calendar collections, course templates and other integrated critical required aspects of the Ontario College of Teachers (OCT) Guide; Prepare, format, and send any communications to various partners including, OCT, faculty, part-time instructors, teacher candidates, school board personnel and teachers; Serve as a liaison between the faculty and OCT with the planning and coordination of the accreditation process and site visits; Create and maintain spreadsheets, charts, and other data-tracking tools to support accreditation activities; Serve as a point of contact for inquiries related to accreditation, responding via phone, email, and in-person interactions; Process and reconcile expenses associated with accreditation efforts; Support the development and monitoring of the accreditation budget; Provide guidance to internal partners on accreditation standards, processes and timelines; Collaborate with cross-functional teams to ensure continuous improvement and readiness for site visits or evaluations; Establish, maintain, and manage Accreditation-related MS Teams and SharePoint platforms. Key Skills and Experience: Undergraduate Degree in a related discipline or the equivalent combination of education and experience would be considered; Ontario College of Teachers (OCT) Certification; Experience in accreditation, compliance, or quality assurance administration/coordination role; Experience in project management or records management; Advanced technology competency including Microsoft Office Suite; Excellent project management and coordination skills; Ability to maintain up-to-date knowledge of accreditation standards and regulatory requirements; Promotes and embodies inclusivity and respect within the workplace and the broader community; Ability to listen to and collaborate with team members; Strong written, verbal and interpersonal communication skills; Ability to establish priorities and organize work with minimal supervision; Strong initiative and ability to function as a self-starter; Ability to think critically to define the root cause of problem and suggest viable solutions.
