Role Overview
The primary function of the Vendor Relations Manager is to oversee and optimize all aspects of our supply chain operations across multiple clinic locations. This role will be responsible for vendor management, procurement, inventory control, the introduction of new products and services, and the seamless integration and performance of our retail and POS (Point-of-Sale) systems. The ideal candidate is a strong collaborator and analytical thinker with a proven ability to streamline operations while maintaining high standards in quality, efficiency, and cost-effectiveness.
Role Objectives
The Vendor Relations Manager responsibilities include, but are not limited to:
Vendor & Supplier Management
Develop and maintain strong relationships with vendors and suppliers to ensure timely and cost-effective procurement.
Negotiate contracts, terms, and pricing to optimize supply agreements.
Monitor vendor performance and compliance, implementing corrective actions when necessary.
Procurement
Oversee the end-to-end procurement process including sourcing, ordering, and budgeting.
Evaluate and implement procurement best practices, policies, and systems.
Collaborate with cross-functional teams to forecast demand and manage purchase orders accordingly.
Inventory Management
Implement efficient inventory control systems to maintain optimal stock levels across all clinics and retail outlets.
Monitor inventory turnover, track usage trends, and minimize waste or stock-outs.
Develop standard operating procedures for inventory handling and ensure compliance with internal and external requirements.
New Products & Services
Collaborate with clinical and corporate teams to introduce and roll out new products and services.
Coordinate with vendors, internal stakeholders, and the marketing team to ensure successful product launches.
Conduct feasibility and cost-benefit analysis for new products and innovations.
Retail & POS System Oversight
Manage and optimize the performance of our retail and POS systems across clinics.
Ensure accurate inventory and pricing data integration across platforms.
Partner with IT and Operations to troubleshoot issues and identify opportunities for system enhancements.
Training & Education Coordination
Develop and execute training plans related to new product launches, clinical equipment, and retail merchandise.
Partner with internal trainers and department leads to schedule and deliver training for staff and physicians.
Coordinate vendor-led training sessions, ensuring consistent and up-to-date knowledge sharing across all clinic teams.
Evaluate training outcomes and provide feedback to improve delivery and effectiveness.
Role Qualifications
Bachelor’s degree in supply chain management, Business Administration, or a related field (Master’s preferred).
Minimum of 5 years’ experience in supply chain or procurement roles, preferably in healthcare, retail, or multi-site operations.
Strong knowledge of vendor negotiations, procurement systems, and inventory software.
Experience with POS systems and retail operations.
Proficient in Microsoft Excel, inventory platforms, and procurement tools.
Excellent organizational, problem-solving, and communication skills.
Proven ability to manage multiple priorities in a fast-paced, growing environment.
