We invite online applications from our civilian members for full-time and part-time Records Clerk positions.
Level 5A: $58,950 through to $78,600 (2025 Salary Range)
PURPOSE OF POSITION
Under the direction of the Manager i/c Records, the incumbent will process and maintain information on RMS received from Service members according to policies and procedures.
Shall, in the performance of duties, respect and protect human dignity and maintain and uphold the human rights of all persons.
SUMMARY OF DUTIES AND RESPONSIBILITIES
Maintain RMS and CPIC computer and other information systems as necessary
Respond to legitimate requests for records checks, copies of reports and/or other information according to policy and procedures
Respond to inquiries as required to any other needs
Receive, edit, and input incident reports from the officers to information systems per policies and procedures
Prepare documents, assemble reports, and collate information for courts per policies and procedures
Ensure that the outcome of court appearances is accurately recorded
Preparation of Judge's Orders for the appearance of those accused in custody
Assisting the NCO i/c Court Services in canceling of witnesses both police and civilian
Disseminate files and update systems accordingly upon completion of court cases
Function as a receptionist for visitors attending or calling the station, identifying their concerns and advising them of the appropriate contacts and procedures to be followed
Generate occurrence reports and input incidents to CAD for happenings reported to the Reception Desk
Respond to requests for police records checks (intake, process and mail-out).
Receive, edit, and input incident reports from the officers to information systems per policies and procedures.
Be accountable to supervisors for the duties described
Perform additional duties as required
Knowledge
An understanding of the organizational structure, Routine Orders, Policy and Procedures, practices within the Service, as it pertains to duties performed
A thorough understanding of all pertinent legislation and all related investigative policies and procedures in relation to criminal offences
Knowledge of the court system
Knowledge of an office and reception environment
Working knowledge of standard office software on personal computers
Working knowledge of data entry on mainframe systems
Skills
Excellent oral and written communication skills
Proficient with Windows based computer operating systems.
Exhibit proficiency in Keyboarding (55 w.p.m.)
Possess strong interpersonal and time management skills.
Possess good analytical, interpretive and problem-solving skills.
Filing and transcription skills
Abilities
Proven ability to deal with multiple and competing demands for time and attention.
Ability to learn and adaptability to deal professionally and effectively with all members, visitors, contractors and suppliers
Ability to take initiative and complete a project from its inception.
Ability to exercise good judgment and make good decisions
Ability to observe, retain and prepare clear, concise and accurate reports and operate general office equipment
Ability to communicate effectively with people at all levels of comprehension and to handle the public with courtesy and authority
Must be capable of producing work under strict and definitive deadlines.
