The Opportunity
The Athletics & Recreation Services Administrator will support the successful
operations of Athletics & Recreation through professional, accurate and timely
administration and communication. This position reports to the Director of
Athletics & Recreation and is an administrative member of the Trojans Athletics
operations team. Evening and weekend work will be required to accommodate
programs and special events.

The Role
-
Athletics and Recreation Administration & Coordination:
-
Arrange and initiate all A&R related travel coordination including
accommodation, transportation and hospitality for all Trojans programming
-
Assist with the coordination of A&R operations, including but not limited to
Trojans program activities, engagements and games
-
Assist with the coordination of special functions such as Coaches Meetings,
Athlete Orientations and annual events such as the Athletic Gala/Banquet,
Make Some Noise and Office of EDI efforts
-
Assist with ES Talent Acquisition efforts through hiring, onboarding
processes and progression
-
Assist and support A&R Team Leads, Athletic Therapy Clinic, Safe Sport
Committee & Part-Time Coaches as deemed pertinent or urgent
-
Assist with fund development, government reporting and special event hosting
-
Support Athletic Director with meeting requests, meetings bookings, special
functions, vacation draw down & ES activities, contract creation &
monitoring, note keeping & departmental communication, HSE requests and other
duties as requested.

Contribute to Trojan Athletic Foundation in the role of Treasurer
-
Finance:
-
Lead all finance related coordination for Athletics & Recreation – Invoices,
billing, FOAPAL transfers, purchasing, ticket revenue, event expenses,
capital asset tracking, procurement, payroll, webtime entry support, grants
etc.

Assist and maintain, reconcile and organize the Athletics & Recreation
operating budget, including restricted accounts

Assist and liaison with SAIT Finance Business partners, purchasing agents and
insurance
-
Coordinate department credit card program, including the support for
part-time coaching staff
-
Reconcile Director credit card, variable credit limits and travel related
credit purchases
-
Office Reception:
-
Arrange and assist A&R front desk coverage and ‘front of house’ customer
communications
-
Responds to inquiries and complaints regarding policies and procedures of the
department
-
Assist with training and policy alignment of part-time staff within the A&R
department
-
Oversee and trouble shoot office equipment, copiers, printers, laptops, audio
video and screens
-
Assist with A&R digital reception accuracy and communication content (.ca and
.com)
-
Assist and support the full-time and part-time staff contingent as deemed
urgent
-
Special Projects & Events:
-
Event support and committee contributor on all A&R departmental initiatives
such as National Championships, Conference Championships, Invitational
Tournaments and Showcases
-
Liaison support for Trojans Alumni groups and non-profit association
initiatives
-
Creative content provider and admin support for Student Banquets, Awards
Evenings, Social gatherings and Director lead engagement efforts
-
Represent the department as required at campus community related events,
booths, etc.

Evening and weekend decision making and urgent response will be required
Qualifications & Experience
-
Minimum:
-
Diploma in Sport, Business or Administration
-
5 years of experience in sport management, administration, office management,
events or related experience
-
Previous experience working in sport/recreation or equivalent experience as a
post-secondary/high performance athlete

Preferred:

Degree in Sport, Business or Administration
