Reporting to the Employee Engagement Manager, the role of the Employee Engagement Coordinator is to provide transactional EE support to the EE Manager. This role supports with, but is not limited to, the development and implementation of policy, recruitment, on-boarding, payroll, benefits, health and safety and other areas as directed. Other duties involve maintaining accuracy, up-to-date EE filing systems and personnel records and drafting reports. The role is consistently evolving and will require adaptation to ongoing ad-hoc responsibilities. This opportunity will provide valuable insight into the multi-faceted areas within the Human Resources discipline.
Responsibilities
Transactional EE Support:
Assist the EE Manager in fulfilling EE-related requests in a timely manner, including research, documentation development, record keeping, and follow-up.
Initial gathering of employee documentation for initial set up
Onboarding and Recruiting Assistance:
Using our automated tracking system – Workable for recruiting
Post job postings on applicable job boards.
Receive, manage and review all applicant resumes
Complete phone pre-screens, schedule and coordinate interviews
Coordinate with new hires to complete pre-employment documentation and ensure compliance.
Facilitate pre-employment processes, including scheduling drug testing, informing IT about new hires, creating employee profiles, and addressing outstanding issues.
Guide new hires through their onboarding day, including office tours, IT orientation, review of onboarding documentation, and resolving questions or concerns.
Review and finalize onboarding documentation, ensuring completion and accuracy.
Upload onboarding documentation to employee profiles for record-keeping purposes.
Assist with recruiting needs as required.
HR Inquiries and Compliance:
Respond to internal and external EE-related inquiries promptly, conducting research and providing relevant information.
Follow up on outstanding or future-dated requests, prioritizing and organizing them efficiently.
Review and support organization-wide compliance with HR policies, procedures, and regulations.
Stay updated on changes in employment legislation and other regulatory requirements.
Record-Keeping and File Management:
Organize, maintain, and coordinate office and employee records/files, ensuring proper location, confidentiality, and secure transfer when necessary.
Eliminate unnecessary or outdated materials in compliance with file maintenance and legal guidelines.
Group Benefit Administration
Manage the administration of group benefits, including enrollments, changes, and terminations.
Assist employees with benefit-related inquiries and requests.
Performance Management Support:
Assist in the implementation and administration of performance management processes.
Collaborate with EE Manager and department managers to ensure adherence to performance management guidelines and timelines.
Collect and compile performance-related data, such as performance reviews and ratings.
Maintain accurate performance records and documentation for employees.
Support the EE Manager in conducting performance-related audits and reviews to ensure consistency and fairness.
Provide guidance and support to employees and managers in understanding and navigating the performance management process.
Qualifications
Diploma in Human Resources, Business or a related field is required.
2-3 years of experience in an administrative role preferably in Human Resources is required.
Must have high level typing skills, and high degree of proficiency in MS Office Suite (MS Outlook, MS Word, MS Excel)
Knowledge of office administrative procedures a strong asset
Understanding of general Human Resources and recruitment practices preferred
Ability to recognize confidential information and always maintain a high degree of confidentiality.
