The Department of Statistical Sciences is one of the top ten statistics departments in North America, with our faculty developing numerous important innovations in statistical science. Our mission is to serve as a centre of excellence for statistical and actuarial research and education, across the campus, nationally and internationally. Research is centered on excellence in theory and methods, as many faculty members in the department have very successful collaborative research programs. Under the general direction of the Manager, Communications, the Events and Administrative Assistant will be responsible for executing a range of both virtual and in-person events for the Department of Statistical Sciences. You will be the first point of contact for contacts within the department for events support, ensuring their needs are met efficiently and professionally. Specifically, the incumbent will assist with room booking,catering, and setup for events, maintain inventory and departmental supplies/inventories, and other administrative support as necessary.
Your responsibilities will include:
- Acting as the first point of contact for event-related enquiries
- Determining logistical details and activities for events and/or programming
- Liaising with clients and vendors to resolve minor complaints and address issues
- Booking meeting space and rooms that meet client needs and referring complex bookings to senior staff
- Distributing incoming and outgoing mail and deliveries
- Maintaining office equipment and supply inventory
- Maintaining information on digital platforms
- Providing orientation to others on work procedures and practices
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two (2) years of recent and related experience in event coordination, facilities management, and administrative support.
- Experience organizing logistics for large-scale, in person and remote events. Experience with liaising with and providing information to event organizers.
- Experience with maintaining effective digital content on various platforms including Drupal, Wordpress, social media platforms, etc.
- Experience and familiarity with event logistics, including catering, AV coordination and room setup.
- Experience with maintaining office supply inventory.
- Experience with booking rooms and arranging spaces with understanding on space requirements.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and online booking systems.
- Experience with live streaming and virtual event technologies (such as Teams, Zoom, YouTube, or similar).
- Excellent verbal and written communication skills. Excellent interpersonal skills and customer service skills; shows accuracy and attention to detail; good judgment; helpful attitude; ability to work work well as part of a team and ability to work well with interruptions and shows initiative.

USW Pay Band 07 -- $60,237. with an annual step progression to a maximum of $77,035. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
