Position Summary:
The Senior Administrative Assistant provides high-level administrative support to the VP, Director, and the broader team, ensuring the smooth and efficient coordination of information, documentation, and daily operations. In this role, you will help keep the team organized and supported across meetings, travel, reporting, communications, and special projects, while demonstrating LifeLabs’ vision and values in all interactions.
This role is based in Toronto, Ontario and requires strong collaboration across teams to support both day-to-day activities and department initiatives.
What You’ll Do:
Provide administrative support to the National Director of Quality and Regulatory Affairs, QRA senior managers, and the QRA teams, including:
Managing complex calendars, including scheduling and rescheduling regular and ad hoc business meetings, videoconferences, webinars, and required meeting resources.
Supporting the administration of various QRA programs and databases (e.g., Paradigm, NCE, LTI, KPIs, MediaLab, Equipment, CLSI, CAP, Translations, Area Alerts, Technical Memos), including user setup, orientation/training, report generation, and troubleshooting minor issues.
Preparing and presenting data in Excel or PowerPoint for analysis and reporting.
Preparing monthly, quarterly, annual, and ad hoc reports.
Assisting with the planning and coordination of meetings, events, and training programs (virtual, onsite, or offsite).
Coordinating large business meetings/events, including booking locations, arranging catering, securing guestrooms, and managing all required logistics.
Preparing meeting agendas, capturing meeting notes, and drafting minutes.
Preparing SOPs, job aids, and PowerPoint presentations as required.
Supporting the maintenance of shared drives, records, and departmental forms.
Assisting with onboarding and orientation activities for new QRA employees.
Preparing, coding, and submitting invoices for payment through Oracle.
Ordering department supplies and handling mail distribution, emails, and faxes.
Conducting research or online searches for information as needed.
Supporting special projects as assigned.
What You'll Bring:
2–3 years’ experience supporting senior management in a similar administrative role.
High School Diploma; post-secondary education preferred.
Healthcare experience is an asset.
Advanced proficiency with MS Word, Excel, and SQL databases.
Knowledge of privacy legislation.
Excellent written and verbal communication skills, with a strong attention to detail and ability to manage multiple priorities.
