The National Services Administrator is located in Stoney Creek and reports directly to the National Service Controller. They are responsible for coordination and administrative support for national accounts with the National Services team. Supports managers and employees on the team through a variety of projects and tasks related to organization and communication, while contributing to the overall success of the organization.
Main Duties and Responsibilities include:
Consolidate national client invoices based on individual client contractual timelines
Submit invoices to clients via the established delivery method (such as by email or through individual client online portals)
Document control
Create and update contact lists and knowledge base (KB) for company call centre
Update client information including site contact information, equipment, etc.
Maintain and prepare reports from manual or electronic files and databases for the team
Complete and submit quotes to national clients.
Monitor Client Quotation Web Forms and Checklists in SharePoint, following up with clients as required on pending quotes & checklist updates to ensure timely updates and resolution.
Monitor, review and follow up on pending work order tracking report for various regions, review work orders and follow up with teams as needed
Review National Client Contracts to ensure proper rollout and implementation with proper renewal increases regionally
Support the setup and review of new or existing national clients in our finance system (JD Edwards)
Preparation of Client Review business presentations and correspondence as required

EDUCATION & WORK EXPERIENCE REQUIREMENTS
Post-secondary degree or certificate in Business Administration or related field
1-3 years previous experience in an administrative role required
SKILLS, ABILITIES, AND OTHER REQUIREMENTS
Strong technical skills in Microsoft 365 (including Excel, Word, Teams, PowerPoint)
Self-starter with the ability to manage multiple projects and meet deadlines
Ability to work independently with limited supervision
Effective written and verbal communication skills
Excellent interpersonal skills
Demonstrates a commitment to providing excellent client service by building and maintaining productive relationships with both internal and external clients at all levels.
Confidence to work in a highly technical and changing work environment

Knowledge of Finance practices preferred
Experience in Oracle (JD Edwards) is an asset
