The Student Success Centre in Student Experience and Support is currently seeking a Full-time Limited Term Exploratory Academic Assistant for approximately 11 months.
The Academic Program Assistant will work to support exploratory and open studies advising and academic programming offered by the Student Success Centre. The Program Assistant will assist in the administration, assessment, communication, and delivery of programs, as well as support the development of resources for exploratory and open studies students. This position reports to the Senior Specialist, Academic Advising, and receives daily direction from the Coordinator, Exploratory Students and the Academic Development Specialist (Academic Turnaround Lead).
Summary of Key Responsibilities (job functions include but are not limited to):
- Work the Academic Development Specialist (Academic Turnaround Lead) to coordinate administrative aspects of the Academic Turnaround Program, including creating and overseeing D2L course shells, supporting the planning, scheduling, promotion and registration of Academic Turnaround Program seminars and events and responding regularly to program queries from students in-person or via email.
- Work with the Senior Specialist and the Coordinator, Exploratory Students to support the administrative aspects of exploratory and open studies advising and workshop delivery, which may include, scheduling, room booking, set-up, document preparation, and attendance monitoring.
- Participate in the SSC Communications working group, and Open Studies University Entrance working group to support the production of promotional materials and supportive resources in collaboration with SSC, Faculty and Admissions staff.
- Work with Coordinator, Exploratory Students to design and implement a communication plan for exploratory and University Entrance/Open Studies students.
- Support the development of staff training resources for the New Student Registration Assistance program and new University Entrance program.
- Support the Coordinator, Exploratory Students and the Academic Development Specialist (Academic Turnaround Lead) in their assessment of program outcomes, including the production, distribution and collation of results from service log data and student feedback surveys.
- Conduct statistical analyses using Microsoft Excel and/or Power BI (or a similar tool) to aid in the production of reports on exploratory and open studies services and programs.
- Support the operation of the Student Success Centre reception desk and Student Success Centre events, as needed.
- Triage inquiries through various SSC email accounts.
Qualifications / Requirements:
- University degree required.
- 1-2 years of experience working within student affairs / student services within a post-secondary environment.
- Excellent oral and written communication skills.
- Experience with creating communications materials (Canva, Marq, Marketo, etc.) is an asset.
- Experience with qualitative and quantitative methods of program assessment.
- Experience with Power BI or similar statistical analysis software (SPSS, STATA, etc.) is an asset.
- Familiarity with creating surveys and able to utilize necessary technology, Excel, Word, PowerPoint, Qualtrics.
- Organized and attentive to detail.
- Demonstrated professionalism, and good judgment.
- Ability to work under pressure and meet deadlines.
- Strong understanding of University of Calgary services, resources and processes.
- Familiarity with post-secondary learning management systems (e.g. D2L).
- Able to contribute to program management and event planning.
