The Recruitment Team in the Office of the Registrar is currently seeking a Full-time Regular Coordinator.
The University of Calgary Student Recruitment Team is committed to attracting top quality candidates to the institution by utilizing creative and compassionate methods to meet, listen to, inform, and advocate for prospective students from diverse backgrounds. Working within institutional strategies and policies, the student recruitment team is the first point of contact to provide clear advice about how to choose, apply for, accept, and enhance best-fit academic programs, as well as empowering inadmissible applicants to identify suitable academic pathways to actualize their goals.
The Coordinator, Indigenous and Community Student Recruitment is a pivotal position on the undergraduate recruitment team and an expert in current recruitment practices for high-touch populations ensuring close connection to Indigenous and community partners, high engagement activity and clarity in admissions processes.
Reporting to the Assistant Registrar, Student Recruitment and Applicant Relations, the Coordinator provides direction, supervision and coordination to a team of two staff to support UCalgary's Indigenous and community-focused undergraduate enrolment goals. Summary of Key Responsibilities (job functions include but are not limited to):
- Works closely with the Assistant Registrar, Student Recruitment and Applicant Relations and the Manager, National Student Recruitment on creating and implementing the Undergraduate Community and Indigenous recruitment strategies.
- Collaborates in reviewing and actioning admissions processes with the undergraduate admissions management team.
- Oversight of annual travel planning, collaboratively working with the Assistant Registrar, Student Recruitment and Applicant Relations.
- Managerial responsibilities of 2 unionized staff, and may include student employees; this includes hiring, training, supervising, performance management and discipline.
- Participates in goal setting for the unit; assesses and evaluates progress in meeting established goals and objectives, makes recommendations on enrolment strategy and works to implement those changes, often leading a group of staff to achieve the desired outcomes.
- Assists in organizing and conducting team meetings and planning sessions.
- Assists in the development, implementation, monitoring and continual improvement of programs and activities related to student recruitment, marketing, communications, admissions, and enrolment conversion activities.
- Works to ensure recruitment meets defined targets and goals for application, admission and conversion.
- Plans and implements conversion activities in collaboration with academic units and other stakeholders.
- Accountable for oversight of recruitment training and support for travel ensuring team members understand risks as well as ensuring recruitment expenses meet the University Expense and the Admissions and Recruitment handbook requirements.
- Approves accurate and timely expenses related to costs occurred for recruitment travel.
- Provides support to the team while reports-to staff are travelling, including check-in communication.
- Coaches staff on effective decision making and policy interpretation.
- Monitors the volume of work of the unit, works with staff to ensure staff levels and assignments are adjusted appropriately.
- Provides a positive leadership model to staff; is a willing mentor and shares knowledge and expertise freely and creates a safe and productive working environment.
- Researches internal and external resources for changes nationally to support continuous development of recruitment plans and targets including travel and virtual recruitment as well as promotional materials and admission processes.
- Makes recommendations and supports new approaches to improve recruitment and conversion of prospective students in support of UCalgary enrolment objectives.
- Develops contacts and networks for the purpose of strengthening the ongoing presence and reputation of the University and to encourage applications to the University.
- Develops a wide range of contacts within the University community; e.g., faculty offices, departments, faculty members, administrative areas, etc., to sustain both a broad information base about the University and to be able to draw on such resources as part of recruitment-related activity.
- Plans and targets previously defined recruitment groups or organizations for requests for outreach activities with their students (approximately 50 per year).
- Responsible for providing up-to-date, accurate information about the University and its programs to actively promote and market those programs to prospective applicants.
- Provides advisement to prospective students and their families on the Canadian educational system(s), University of Calgary programs, admissions criteria, requirements and processes including admission pathways.
- Organizes, implements, and conducts varied on- and off-campus or online informational/promotional sessions for prospective applicants.
- Specifically focuses on the recruitment and support of working with local underrepresented prospective students; this includes, but is not limited to, community groups to support Indigenous applicants, first generation applicants, local transfer applicants with prior international curriculum, English as a second language applicants, adult learners, refugees and applicants from low socio-economic backgrounds.
- Develops effective relationships with high schools locally and nationally.
- Oversight of timely and accurate response to inquiries from prospective students.
- Identifies and targets key contacts/organizations in student recruitment to facilitate University of Calgary's recruitment initiatives, conversion strategies, and applicant follow-up.
- Identify innovative ways of bringing information to its stakeholders in an efficient and effective manner.
- Supports the application process for admissions pathways.
- Connects with students to review requirements, discuss options and assist students in finding the best fit pathway to program.
- Reviews and verifies Indigenous citizenship/membership documentation and conducts outreach to applicants.
- Acts as a conduit, key resource and central point of contact between undergraduate recruitment and admissions regarding Indigenous and related pathway processes.
- Conducts research and remains current of major trends, issues and developments (e.g., demographic, economic, political, etc.) affecting the University's prospective applicants.
- Utilizes internal reporting mechanisms (PowerBI, PeopleSoft, CRM etc.) to monitor trends and determine approach for supporting recruitment and conversion plans and activities.
- Conducts market research to measure the success of conversion and recruitment campaigns, promotions, and marketing plans.
- Works closely with the Office of the Registrar Communication Team, the Coordinator, Prospective Student Engagement and the Manager, Applicant Experience to plan and implement a multi-channel marketing and communications plan which may include: social media, direct-mail, electronic communications (e.g. e-mail newsletters/bulletins) and telephone campaigns related to the recruitment objectives of the University for both attracting students and conversion activities.
- Leverage existing relationships and identifies opportunities for new partnerships.
- Prepare regular reports to the Assistant Registrar, Student Recruitment and Applicant Relations and Associate Registrar, Admissions and Recruitment regarding recruitment and event activities.
Qualifications / Requirements:
- A four-year University Bachelor's Degree from a recognized post-secondary institution.
- 2-5 years related undergraduate recruitment or admission experience is preferred.
- Previous experience working with Indigenous students and Indigenous communities is considered an asset.
- Related experience working with under-represented groups and access initiatives, is considered an asset.
- Demonstrated familiarity with Indigenous communities, history, and culture.
- Demonstrated ability to build positive relationships with Indigenous Peoples and alongside Indigenous communities including Elders and Traditional Knowledge Keepers.
- Demonstrated knowledge of the Treaty 7 territory and/or an established working relationship with Treaty 7 communities are considered an asset.
- Demonstrated understanding of the cultural knowledge and communication skills required to connect with Indigenous students, schools and communities.
- Strong affiliation with Indigenous communities across Western Canada, and extensive knowledge on Indigenous cultures.
- Knowledge of current issues and best practices in the Canadian context for Indigenous education and support services for Indigenous students.
- Advising skills, preferably in an educational setting and/ or with regional Indigenous people/communities.
- Student experience oriented.
- Comprehensive knowledge of the University's admission regulations, admission procedures, educational programs and services is considered an asset.
- Strong scheduling, organization, and time management skills.
- Demonstrated skill in conducting market research.
- Ability to lead, manage, and supervise in a unionized environment.
- Demonstrated ability to lead and direct others, including student volunteers.
- Ability to manage change and demonstrate success in leading change initiatives.
- Excellent written and oral communication skills.
- Demonstrated ability to work and communicate with diverse groups of people.
- Demonstrated ability to establish and maintain cooperative working relationships with staff, colleagues, school administrators, officials and representatives.
- Demonstrated ability to work in a fast-paced, high pressure, team-based environment and meet deadlines.
- Strong computer skills including word, database management, excel and Internet are required to produce plans, reports, text, and materials and to conduct research.
- Knowledge of PeopleSoft or Slate would be an asset.
- Ability to work independently with minimal supervision.
- Willing to work evenings and weekends as required.
- Must be able to travel for extended periods.
- A valid Class 5 driver¿s license (cannot be a graduated license) with proven good driving record (abstract required).
- Excellent attention to detail due to high impact of error.
