GENERAL SUMMARY:
The Fleet Maintenance Administrator is responsible for monitoring the fleet's performance and maintenance. The Fleet Maintenance Administrator will ensure that vehicle maintenance records comply with company SOPs and government regulations, coordinate and perform fleet vehicle registration renewals, and submit required reports to regulatory agencies related to fleet vehicle operations. This position will set up, maintain data files, and facilitate integration between Telematics and any additional Computerized Facilities Maintenance Management System (CFMMS) that is employed by the company to monitor required service and maintenance intervals.
ESSENTIAL JOB FUNCTIONS:
- Provide data entry support at initiation and regular upkeep of CFMMS
- Ensure timely and effective records are kept both electronic and physical for all fleet services
- Manage and report on the operation performance of the fleet, such as lifecycle management and fuel consumption
- Ensure drivers records and vehicle maintenance are current and up to date
- Provide after-hours support on an as-needed basis
- Track fleet usage, utilization, and equipment performance
- Communicate maintenance requirements to ensure maximum efficiency
- Provide repair, service, and vehicle order status and in-transit information
- Analyze maintenance costs and/or repairs and provide recommendations
- Facilitate obtaining title and registration documents for asset files.
- Assist in preparing service bulletins, correspondences, licensing, and permits, etc.
- Assist in the preparation and filing of all regulatory documents
- Assist in the development of a maintenance budget
KNOWLEDGE, SKILLS, AND ABILITIES:
- Previous fleet maintenance management or heavy equipment maintenance experience
- ERP knowledge
- 3rd party service provider management and basic accounting knowledge
- Proficient in MS Office, particularly MS Excel
- Efficient data entry skills
- High level of customer focus
- Excellent communication and interpersonal skills
- Strong written and verbal skills
- Excellent time management and organizations skills with the ability to multi-task in a fast-paced environment
EDUCATION AND EXPERIENCE:
- Prefer minimum 3 years of Fleet Administration or Business Administration degree
- Prefer 2 years of experience in Telematics use and reporting
- Prefer minimum 2 years of experience in Fleet Maintenance Software
- IFTA, Fuel Tax Credit Filing -- Considered an asset
- ELD experience -- Considered an asset
