About the Canadian Country Music AssociationEstablished in 1976, the CCMA is a membership-based, not-for-profit organization committed to the promotion and recognition of Canadian country music. Role Description We are looking for a highly organized and detail-oriented Finance Manager to join our team and lead key financial operations, grant management, and budgeting functions. Reporting to the President, this role is essential in maintaining financial accuracy, managing forecasting and audits, and ensuring smooth day-to-day operations across our grants and major events.You'll also help manage registration and artist payments, oversee reconciliation processes, and liaise with external stakeholders such as bookkeepers, auditors, and funders. Key Responsibilities:Financial Management \& Reporting
- Oversee organizational budgeting process, working closely with the President and project leads to build, update, and track annual and event-specific budgets
- Prepare monthly and quarterly financial reports, including variance analysis, to inform leadership and board-level discussions
- Manage day-to-day financial administration, including cash flow tracking, invoice approvals, reconciliation support, and reporting accuracy
- Maintain internal budget and forecast models (e.g., 3 9 board forecast, grant-based forecasting)
- Ensure timely and accurate financial documentation is prepared for board meetings, AGMs, and year-end summaries
Bookkeeping \& Audit Coordination
- Act as primary liaison with external bookkeeper for monthly reconciliations and expense reviews
- Prepare for and manage annual audit, ensuring accurate documentation and seamless communication with the auditor
- Coordinate any auditor inquiries and follow-up recommendations to ensure compliance and process improvement
Grant Management
- Track grant funding across multiple streams (federal, provincial, and private)
- Budget for upcoming grants based on previous allocations and organizational needs
- Prepare final grant wrap reports and coordinate deliverables with relevant departments
- Maintain a grants calendar with key deadlines and documentation checkpoints
Registration \& Revenue Support
- Lead registration planning for Country Music Week and other CCMA programs, including revenue tracking, reporting, and post-event reconciliation
- Oversee setup and management of online registration systems (delegate, fan, or industry-facing)
- Partner with marketing, membership, and events teams to ensure consistent user experience and registration alignment
Artist \& Event Financials \& Payments
- Manage artist payment scheduling and ensure proper financial tracking for artist agreements, travel costs, and honoraria
- Set up and manage P\&Ls for major events (e.g., CCMA Awards, Hall of Fame, fan events), ensuring clarity and alignment with overall budget
- Create and manage financial calculators/tools for event planning and internal review (e.g., bid city financial models)
Insurance, Risk \& Compliance
- Oversee annual insurance renewal process in collaboration with broker
- Maintain and submit documentation for CRA filings and registered charity status (in collaboration with legal advisors)
- Ensure compliance with nonprofit financial regulations and maintain all necessary filing records and templates
Financial Tools \& Systems
- Keep all financial templates organized and up to date in Google Drive (event P\&Ls, pro-formas, tracking dashboards, etc.)
- Evaluate and improve internal systems, trackers, and reporting flows to increase efficiency
- Support internal monthly "finance check-ins" with staff and project leads to promote budget visibility and accuracy
Capability Requirements - education, skills \& experience:
- Completed college or university education in accounting or finance, with an accounting concentration
- 3-5 years in financial coordination or management (nonprofit, events, or arts sector preferred)
- Strong financial analysis skills and experience managing budgets and reconciliations
- Experience working with grants or public funding (provincial/federal ideal)
- High proficiency in Excel/Google Sheets; experience with financial platforms is an asset
- Strong organizational and problem-solving skills
- Excellent communication, time management, and attention to detail
- A collaborative attitude and ability to work independently in a fast-paced environment
- Bonus: experience with artist payments, event registration platforms, or nonprofit audit prep. As well as experience working within project management tools.
