Position Summary
Under the direction of the Director of Children and Families, the incumbent is responsible for providing a wide range of comprehensive reception and administrative duties.
Key Responsibilities
Serve as a first point of contact for all public inquiries.
Respond to external and internal inquiries timely and professionally.
Screen incoming client calls and refer to appropriate staff.
Identify urgent inquiries and follow up as required.
Maintain an effective log of all incoming calls.
Available to provide administrative support for the office when required.
Organize weekly child minding for FNFAO workshops.
Maintain ongoing communication with FNFAO Facilitators to ensure an accurate number of child minders are onsite for workshops.
Receiving, documenting, and processing incoming mail daily, photocopying and distribution of mail to appropriate staff members on daily basis.
Photocopying, documenting, and processing of incoming and outgoing faxed materials daily.
Coding faxes and Xerox Machine.
Coding and entering mail in excel program.
Track office supply inventory and help identify supply requirements.
Assisting in the logistical planning and general organizing of conferences and meeting when required.
Generally, assist other support staff wherever required or directed by supervisor or senior management.
General upkeep of the photocopier, fax machine equipment.
Dealing with front desk public enquires.
Other duties as assigned.
Qualifications: Education & Experience
Must possess post-secondary training from a recognized college or technical institute or a combination of two year’s related experience an/or education/training.
Must be able to work well under pressure and meet deadlines.
Excellent administrative, editing, organizational skills and research abilities.
Knowledge of general office procedures, practices, maintains confidentiality and office equipment operations.
Knowledge of First Nation culture, history, and issues.
Excellent interpersonal skills and ability to work co-operatively as a part of an interdisciplinary team of professionals.
Ability to communicate effectively, both orally and in writing, demonstrated empathy.
Demonstrated ability to work independently with minimal supervision.
Proficient with Microsoft office Word, Excel, Power Point and Outlook, and accurate typing speed of 60 wpm.
Adhere to AMC policies and procedures with specific attention to attendance, and professional ethics.
Must have a current satisfactory Criminal Record Check, and Clear Child Abuse Checks.
