Job Description: What you’ll be doing: The Accounting Officer reports to the Controller and is a key member of the Foundation. This position plays a vital role in the department and is responsible for Accounts Payable, Grant Requests and Disbursements, Bank reconciliations and Fund Administration. Your responsibilities: Accounts Payable Administration: Responsible and directly handles all aspects of the complete cycle in accounts payable from processing to payment on a weekly basis. Reviews all cheque requisitions and invoices to ensure completeness from general ledger coding to approval by authorized signatories to supporting back-up documentation and compliance with the terms of reference on the respective donor restricted funds and/or gaming disbursements’ regulations plus ensuring sufficient cash in the fund accounts before payment. Assesses each payment requisition for the applicability of a T4A slip at year-end. Responds to all accounts payable payment inquiries in a timely and courteous manner. Grant Request and Disbursement Coordination: Under the supervision of the Controller, and as directed by the VP, Finance & Operations, effectively coordinates the Grant Request and Disbursement (GRD) function: Reviews and confirms each GRD for the authorized approvals by the Fund Signatories and/or Cost Centre Managers, the requested items/services are within the Funds’ terms of reference, and sufficient Fund balance before sending to SHN for next steps. Handles all GRD related inquiries. Fund Administration: Responsible for all aspects of Foundation’s Fund accounts with respect to the statement recipients and signatories and is the main contact person. Maintains Fund statement recipient access and updates the access on shared drive. Handles and completes all fund inquiry requests. Ensures fund change requests are responded and actioned in a timely manner. These include, and not, limited to fund signatory changes, fund Term of Reference changes, opening and closing of funds, etc. Generates reports and transactions details to support financial queries in response to Fund holder questions. With direction from the Controller and /VP, Finance and Operations communicates using professional tact and politeness with authorized fund signatories to find a positive resolution when requested expenditures on a cheque and/or purchase requisition are not within the fund’s terms of reference. Liaises with SHN – Finance Department to create and/or amend fund accounts in Financial Edge as needed. Monitors expenditures from Grant Requests to ensure there are appropriate fund signatory approvals and are within the fund’s terms of reference. Educates fund holders on the Foundation’s disbursement policies and procedures. Uploads monthly Fund statements to shared drive for access by the Fund recipients on a timely basis (in the absence of the Controller). Finance and Accounting: Reconcile operating and other bank accounts with Raiser’s Edge transactions and batches on a daily basis. Downloads all monthly and quarterly bank and investment accounts statements. Maintains control of Foundation’s corporate credit cards and reconciliations and provides credit card payment processing assistance. Coordinates with HR and SHN Payroll department about inquiries on payroll register and discrepancies. Supports payroll-related tasks, such as maintenance of allocation schedule and remittances documentation. Maintains records of files on the shared digital platform. Maintains digital records of all vendor and voucher payment files related to the Foundation from Operating to Disbursements. Maintains documentation on processes and procedures related to this position. Support year end audit process What you bring to the position: Undergraduate degree and/or diploma in business/commerce with a focus on finance and accounting is required Enrollment in a Professional Accounting Program 5+ years’ general accounting experience working in a similar role with a mid to large organization Experience working in a healthcare not-for-profit organization is an asset Your competencies include: Good working knowledge of accounting principles, policies, and procedures Must have good analytical skills with strong attention to detail Ability to identify and resolve issues independently Ability to process a high volume of transactions with accuracy Demonstrated ability to multi-task and meet deadlines Good working knowledge of Microsoft Office suite of products, including the use of advanced Excel functions and pivot tables Experience using a financial system and a CRM system desirable. Raiser’s Edge and Financial Edge experience is an asset.
