This role is to ensure sufficient materials are in stock at optimal and efficient levels aligned to storage capacity, production demand, forecast and new product launch. Responsibilities include, but are not limited to – inventory accuracy on materials; keep track and purchasing of inventories (stock and non-stock) required for the production of customer orders and general operations; order entry of customer purchase orders; generate and coordinate KPIs of the supply chain team; schedule shipments and deliveries out of the dock at GWB and ensure appointments booked for 3PL pickups; review vendor performance and costs. Get involved with new product launch, support data transfer for our customers and 3pl locations through various portals, import /export documents, track shipments and provide any logistical support needed for carriers through to the final delivery, ensuring timely delivery of customer orders. Duties and Responsibilities: Customer Sales Order Be the first point of contact with the customer on any order fulfillment requests and issues. Ensure sales orders are entered with appropriate conditions to perform purchase order execution. Collaborate with cross functional groups to ensure Order Shipped Complete & On Time (OSCOT) with timely communication on order status; troubleshoot and flag any obstacles to target order fulfillment. Liaise with sales, logistics/shipping and master data to ensure customer records & output are up to date for order fulfillment and order communication. Work with 3PL storage and logistics/shipping team on customer sales orders to ensure orders are being filled as ordered within tolerances and shipping on time resulting in accurate invoicing of the order. Fill any requirement from customers on data transmission or document upload to systems or portals. Issue and release shipping documents for sales orders requiring customs clearance; work with customs broker to ensure order is customs cleared. Track PPD shipments, arrange carriers, assist with booking appointments, follow up as needed. Purchasing & Inventory Ensure purchase order data (delivery dates, pricing, ship mode) is reviewed and maintained to provide timely and accurate information to entire organization. Issue and release paperwork as needed for deliveries and invoicing with suppliers; secure delivery requirements and appointments with appropriate lead time and cost efficient transport mode, including arranging carriers for pick up. Work closely with production and sanitation regularly to conduct periodic review and analysis of materials (ingredients, packaging & non stock items) to ensure optimal supply levels and adequate lead times to support general operations & order fulfillment for minimal to zero risk of operational and order fill interruptions. Communicate materials and timeline requirements for on time product launch. Consult with management to ensure production material spec have been clearly reviewed with the sourcing and QA team before purchase order issuance. Work closely with management on demand evaluation process for seasonal programs & promotions. Manage daily, weekly and monthly inventory reconciliation with 3PL warehouses, of our offsite storage, onsite inventory and troubleshoot to resolve discrepancies. Conduct cycle counts and participate in month end and year end activities. Collaborate with Warehouse Team Leaders, Warehouse Supervisor, and Inventory Control Associate on inventory control with receiving, usage and put away processes. Assist with verifying documentation completion, accuracy, and SAP receiving accuracy. Data Management, Processing & Metrics Provide analysis, insight and administrative support on supply chain KPIs and identify improvement opportunities; assist with implementation as needed. Monitor, seek and audit SAP master data (i.e.info records, material masters) and transactions as needed to support accurate execution of purchase orders and customer orders. Monitor and communicate shelf life, FEFO, FIFO of raw materials and finished goods issues with the supply chain team to maintain best practices and mitigate any non-compliance activity. Participate and support facility and supply chain audits for industry and corporate standards. Assist with Month end inventory counting and adjustment as needed. Cross train and act as back up on production planning. All other duties assigned. Minimum Job Requirements: Education/Certifications and Experience: Bachelor’s Degree (i.e., Supply Chain, Science, Math or related field) or commensurate job experience required. Minimum three years’ experience in manufacturing industry, preferably in supply chain working directly with product data maintenance. Experience with formal ERP system required. Proficiency with SAP ECC strongly preferred. Food manufacturing strongly preferred. Thorough understanding of food safety standards including Good Manufacturing Practices (GMPs) and knowledge of Hazard Analysis & Critical Control Points (HACCP) is a plus. Knowledge, Skills and Abilities: Thorough understanding of ERP system and relationships between materials, BOMs and recipes, and the subsequent behavior of materials throughout the ERP system. Proficient in use of MS Office including Excel, Word, PowerPoint, etc. Basic math concepts (standard operations, calculation of ratios and percentages). Strong written and verbal communication skills. Ability to work under tight deadlines and with multiple high priority projects in a dynamic, fast-paced environment. Ability to effectively organize and prioritize work based on needs of internal and external customers. Ability to work with little to no direct supervision fully in-office, and to maintain open communication lines with business leaders, stakeholders and customers. Ability to work as part of a cross-functional team with multiple stakeholders and competing priorities. Comply with company and departmental policies and procedures; complete administrative tasks correctly and on time; support organization's goals and values.
