The Alberta Children's Hospital Research Institute (ACHRI) in the Cumming School of Medicine invites applications for an Awards Advisor. This Full-time, Fixed Term position is for approximately 12 months, with the possibility of extension.
Reporting to the Program Manager, One Child Every Child (OCEC), the Awards Advisor is required to develop and maintain an overarching understanding of the research training and educational mandate of ACHRI and the OCEC initiative and support the Institute's leadership in facilitating and further developing research training within CHW. This role will involve working with both internal (UCalgary) and external parties, stakeholders, and agencies. Effective ongoing collaboration with the core work team of fellow ACHRI and OCEC staff members and ACHRI and OCEC leadership, ACHRI members and trainees within the University will be critical as well as trainees at OCEC partner universities.
This role will be part of the One Child Every Child Program, a Canada First Research Excellence Fund (CFREF) initiative, with a vision for all Canadian children to be the healthiest, most empowered and thriving in the world.
The Awards Advisor will be required to work collaboratively in a fast-paced environment, with minimal supervision to coordinate various activities and processes of the different education programs in ACHRI and OCEC. Those includes STEP (Strategic Training and Education Program), LEAP (Learn, Experience, Accelerate, Partner) program, and OCEC excellence award program, as well as other programs within the Child Health and Wellness initiative.
One Child Every Child is a Parallel Paths project that has Indigenous and non-Indigenous Paths. All members of the program will perform training on work with Indigenous people, communities and data. Experience with Indigenous community-based work is an asset for members of the OCEC research team.
Summary of Key Responsibilities (job functions include but are not limited to):
Program development support and project coordination in the context of research training and education of ACHRI, OCEC and CHW:
- Support Education Directors and Training and Education Manager in the development, and implementation of ACHRI research training and education programs.
- Participate in strategic planning of novel education initiatives aimed at enriching student and fellow training experience and enhancing professional and career development of ACHRI, OCEC and CWH trainees.
- Contribute to ongoing strategic assessment of the ACHRI training programs to determine their value in meeting the needs of the ACHRI and CHW educational mandate.
- Help identify and facilitate new collaborations and partnerships both internal and external to ACHRI and OCEC to further the efforts of the training program.
- Establish and maintain positive and mutually beneficial relations with both internal and external partners, including community members.
- Provide professional services to other team members, internal and external to the ACHRI and OCEC Training Programs, providing guidance and knowledge transfer in training, procedures, and policy development.
- Support fundraising initiatives and work with the ACHRI team to create reports to donors as needed.
- Support OCEC team to create reports to funding agency.
- Coordinate meetings, events and presentations as required.
- Work with the relevant communications teams to plan and develop marketing and communications pieces specific to the ACHRI and OCEC training programs for the purpose of trainee and community engagement.
- Responsible for coordination of all trainee funding competitions and associated processes and committees.
- Responsible for management of trainee records, such as trainee database, award applications, and outcomes of training.
- Maintain ACHRI and OCEC trainees¿ lists.
- Monitor training funding and budgeting resources, collaborating with the ACHRI Program Manager and finance team.
- Responsible for completion of all quarterly and annual reports related to the training program.
- Coordinate meetings of relevant committees; prepare and distribute agenda, minutes and supporting documents. Organize and prepare presentations and reports for meetings.
- Responsible to update the content for the ACHRI and OCEC training program websites.
- Assist with organizing trainee activities such as workshops, education sessions and prepare necessary materials.
- Manage own time effectively and ensures that the leadership team is kept informed of activities and progress of work.
Qualifications / Requirements:
- Bachelor's Degree is required.
- Two or more years of related work experience, in areas such as education, training, HR, academic advising, research administration. A combination of related qualifications may be considered for this position.
- Ability to plan and direct administrative activities within a team environment.
- Ability to solve complex problems.
- Ability to exercise independent judgment and initiative as appropriate.
- Attention to detail is critical.
- Must be able to work efficiently and effectively, at times under tight deadlines. Ability to multi-task and prioritize effectively.
- High aptitude for independent decision making and problem solving.
- Excellent interpersonal and organizational skills.
- Ability to work both independently and collaboratively.
- Strong writing skills. Demonstrated ability in writing and preparing reports for the purpose of presentation and publication.
- Effective communication and negotiation skills; conflict resolution skills.
- Intermediate to advanced skills in Microsoft 365 (Word, Outlook, Excel, PowerPoint) including SharePoint and Teams apps. Familiarity with other university software programs an asset.
- Open to learning and development; be willing to accept new challenges and assignments.
- Knowledge of University core business and student service systems desirable.
- Experience in educational program development an asset.
