The Senior Coordinator, Donor Relations (Bilingual) will play an integral role in the ongoing development and continued growth of Special Olympics Canada's national individual giving program.

POSITION SUMMARY:
The Senior Coordinator, Donor Relations will provide timely, world-class, and bilingual customer service and stewardship to SOC individual donors, while promoting SOC's mission and brand - ultimately maximizing revenue, supporter satisfaction and long-term loyalty.
The Senior Coordinator will serve as the main point of contact for all SOC individual and community donors, including those acquired through SOC's national integrated direct marketing program. They will efficiently and promptly handle a range of enquiries, responses, complaints, provide general information, and resolve donation-related queries from supporters and the public. They will provide professional, timely, follow-up related to monthly donor issues.
JOB DUTIES \& RESPONSIBILITIES:
Donor Stewardship (45%)
- Coordinate and execute comprehensive donor relations strategies to enhance donor engagement and retention.
- Responsible for ongoing monthly donor stewardship, donor and donation journey, executing donor stewardship tactics, monitoring ongoing monthly donors' retention rates, revenue and trends, by producing various KPI reports, in collaboration with the Database Specialist.
- Responsible for working with face-to-face (F2F) and telemarketing vendors to further improve donor retention rates and donor satisfaction.
- Ensure timely and accurate acknowledgment of all donations.
- Plan and execute donor appreciation strategies and activities.
- Maintain accurate and up-to-date donor records in the CRM system.
- Stay informed about industry trends and best practices in donor relations and fundraising.
- Assist Director, Individual and Community giving in implementing new initiatives to further improve donor engagement and retention.
- Actively collaborate with the Office Coordinator to provide the best possible donor experience.
Donor Relations and Donor Database (30%):
- Efficiently and promptly handle a range of donor enquiries, responses, complaints, provide general information, and resolve donation related queries from supporters and the public.
- Responsible for all monthly donations processing, coding, and monthly donor management according to CRA.
- Provide professional and timely follow-up for all one-time gifts and monthly donor payments and tax receipt issues (e.g. credit card processing issues, credit card expiration issues etc.).
- Manage all in-memory and in-honor gifts as appropriate.
- Liaise with Special Olympics Chapters and Special Olympics International with all donors related issues.
- Manage the end-of-year tax receipting process for all one time and monthly donors.
- Work collaboratively with Database Specialist to effectively manage the hygiene, integrity and donor contact preferences of all donor data in SOC's Customer Relationship Management database.
- Produce and closely monitor monthly donors' performance report, including monthly attrition report, monthly upgrade report, and other KPIs reports, addressing any challenges and trends that arise.
- Ensure timely and accurate input of donor information and related segment coding into donor database systems for quality, integrity and accuracy.
- Create and run Donor duplicate and other transaction reports.
Donor Marketing and Communications (20%)
- Liaise with SOC's marketing and communications team in developing and ensuring donor communications strategy content is compelling and is accurately deployed in accordance with calendar timelines throughout the year.
- Coordinate all digital donor communications and welcome cadences.
- In conjunction with the Director, Individual and Community Giving, provide input on the creation of outbound donor appeals and other donor collateral.
- In conjunction with Director, Individual and Community Giving, liaise with external vendors and acts as day-to-day contact, including direct mail vendor, donation processing vendor, F2F vendors, digital vendor and in-kind National Partner.
- Manage donor communication calendar and ensure project deadlines are met, or adjusted, if needed.
- Initiate and research new donor communication, focusing on the digital channel, as well as any other channel, that can effectively improve donor engagement and satisfaction.
Administration/ Finance (5%):
- Process financial information from one time and ETF donors as needed.
- Provide other administrative and general support to individual and community giving activities, as required.
EMPLOYMENT QUALIFICATIONS:
Requirements:
- Bachelor's degree from a post-secondary institution, ideally in Nonprofit Management, Communications, Marketing, or a related field.
- Bilingual - excellent written and oral communication skills in English and French.
- Minimum of 5 years of experience in donor relations, fundraising, or a related field.
- Strong organizational and project management skills.
- Proficiency in CRM software and donor management systems.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion in handling sensitive donor information.
- Passion for the organization's mission and a commitment to building lasting donor relationships.
- Experience in managing and engaging donors through digital platforms, including social media, email campaigns, and online fundraising tools.
Preferred Qualifications:
- Experience in a nonprofit organization.
- Knowledge of fundraising best practices and industry trends.
WORKING CONDITIONS:
- The position is performed in a hybrid (home/office) work environment (currently two days per week in office - Wednesdays and Thursdays), primarily sitting and working on a computer.
- The position is based in SOC's office in Toronto at 21 St. Clair Ave. East.
- Occasional travel and weekend work is required to attend events.
COMPENSATION AND BENEFITS:
Salary will be in the $59,000 to $67,000 range, commensurate with skills and experience.
