The IT Administrative Coordinator coordinates IT change management, oversees IT assetsand access controls for integrity, security, and availability, and manages Business Continuity Plan (BCP) and Disaster Recovery (DR) efforts, ensuring efficient administrative support to IT operations.
Key Accountabilities:
- Manages the IT change management process to ensure changes are approved and implemented in alignment with procedures, resulting in improved system reliability.
- Updates, manages, and facilitates improvements to the change process through policies.
- Liaises with various partners involved in the change process for IT releases, patches, and upgrades when required.
- Collaborates with the immediate manager to ensure users understand and follow change management procedures, and coordinates approvals, schedules, and communications related to IT changes within the organization.
- Oversees IT assets and access controls, ensuring the integrity, security, and availability of IT resources.
- Facilitates contract and order mapping in IT inventory system to match inventory to contracts and PO for better tracking.
- Coordinates with the helpdesk for asset tagging reconciling and warranty management.
- Facilitates reconciliation with manager and Inventory regarding asset lifecycle management, including additions, disposals, or releases of assets.
- Coordinates with IT, business, and application stakeholders to ensure consistent auditing of account and application access in accordance with Ornge’s access control policy.
- Reports on audits and facilitates access management enforcement with IT, business, and application owners.
- Coordinates Business Continuity Plan (BCP) and Disaster Recovery (DR) efforts to ensure organizational resilience and swift recovery during disruptions or disasters.
- Facilitates DR and Bugout initiatives, schedules activities, coordinates efforts, and gathers feedback and findings.
- Prepares reports on DR and Bugout findings and provides input on improvements where appropriate.
- Assists in short and long-term test planning and scheduling for IT systems each operational year, including gathering feedback and findings.
- Coordinates IT administrative support activities to provide efficient and effective support to IT operations.
- Supports, reviews, and administrates new and current IT processes including finding deficiencies and recommending improvements.
- Manages vendor relationships including obtaining quotes, establishing timelines, handling billing and banking information, and ensuring compliance with contractual terms.
- Creates requisitions in SAP and ensures accurate workflow adherence.
- Manages IT vendor accounts, PO numbers, and valid contracts, as well as oversee the monthly P-Card reconciliation process.
- Other duties as assigned.
Qualifications:
- Post-secondary education or equivalent in a related field.
- 3-4 years of minimum experience is required.
- Experience in office, IT, and/or finance administration.
- Ability use MS Office applications, including Word, Excel, Project, and PowerPoint.
- Experience with using SAP is preferred.
